FEMS App Privacy Policy

Fingerprint Information Technology Ltd. (FITL) provides FEMS to educational institutions and their students, parents, teachers and employees. This policy explains how information is handled in the FEMS mobile apps and related account services.

The optional usage setting and random monitoring identifiers described below are introduced in mobile app version 1.0.16. Earlier app releases may not display that setting.

Information used to provide FEMS

FEMS may collect account and profile information, including names, contact details and information supplied by you or your institution. The information available to your account depends on your role and the services your institution uses.

School services may involve student and guardian records, attendance, academic information, notices, documents, staff records, requests and payment-related information. We use this information to provide the requested services, maintain accounts, communicate about those services and process school-fee payments. External checkout providers handle information entered on their payment pages under their own terms and privacy policies.

Push notifications use device registration identifiers so the app can receive account notifications. Notification permissions can be managed in your device settings.

Optional app usage sharing

FEMS offers optional usage sharing to help us understand which app features are used, whether actions complete or fail, and how to improve the app. Sharing is off by default. Eligible parents, teachers and employees can choose to enable it and can turn it off in Menu → Privacy → Share app usage at any time. Student usage sharing is disabled in this version.

When sharing is enabled, we send Google Analytics for Firebase the names of features opened and action outcomes, broad failure categories, the account role (parent, teacher or employee), app version, platform and device information, and a random monitoring identifier generated for that account on that app installation. The identifier helps distinguish returning usage; it does not contain the account's name, email, telephone number or FEMS user/school ID.

Google Analytics also handles app installation and session information. Its native SDK may emit automatic startup events after a previous opt-in before the app reapplies the current choice. FEMS feature and action events require an eligible signed-in account and an enabled sharing choice.

Usage events do not include profile field values, grades, child identities, document contents or filenames, payment details, message contents, passwords or authentication tokens. FEMS disables advertising identifiers and advertising consent for this usage collection. Data is used for product analytics, rather than personalized advertising. Google processes the analytics data according to Google Analytics for Firebase's privacy information.

Technical diagnostics and voluntary bug reports

Technical error reporting through Sentry remains separate from the optional usage setting. It helps diagnose crashes and app problems using technical error and performance information with a random identifier and account role. Automatic session replay, screenshots and view hierarchy capture are disabled in public builds.

Users can explicitly submit a bug report and choose to attach a screenshot; report text and chosen attachments are sent with that report. Please avoid including information you do not want to share in a report or screenshot.

Sharing and third-party services

Information may be shared with providers that support FEMS services, including app infrastructure, notifications, diagnostics and payment processing. Other third-party sharing requires explicit consent, except where needed to provide the services. The services you use may also be subject to their providers' privacy policies.

Information supplied for school services remains distinct from the limited optional usage events described above. Turning off usage sharing does not turn off the account services you request, push notifications or technical error reporting.

Retention and your information

Information is retained as needed to provide the services and under the applicable service or institution agreement. The usage-sharing update does not change school-record retention or create a new account deletion process.
